Formalizing your internship
Below are the steps to follow to generate the internship documentation, which must be processed at least 15 days before the scheduled start of your internship.
1. To formalize curricular or extracurricular external internships, you must first have a Social Security number (NUSS) . If you do not yet have a NUSS, you can request one via the following link: https://portal.seg-social.gob.es/wps/portal/importass
2. Once you have identified your supervisors, contacted the company, and agreed on the internship terms (schedule, duration, tasks, professional supervisor, academic supervisor, remuneration, etc.), you must submit the required documentation online by completing an internship addendum. Access the Occupational Observatory application at universite.umh.es/observatorio and identify yourself as a “Student” when selecting your profile (we recommend using the Google Chrome browser).
3. In the ” Student Management ” section, go to the ” Registration for Offers ” option, select the academic year in which you will be doing your internship, and the appropriate offer. If you are doing a voluntary internship, you should select the Extracurricular Internship offer . Conversely, if they are mandatory (Practicum, External Internship course, etc.), you should select the Curricular Internship offer for the corresponding course.
4. Once you’ve selected the offer, an option will appear to choose the module to which your internship proposal will be associated. You must click on ” Propose 1:1 internship .” Depending on the configuration of the offer you’re participating in, an option will appear to select the module to which the internship proposal will be associated. Select the relevant module and proceed to configure the proposal.
5. Once in ” Place Settings “, click the ” Search Entity ” option. The data required to create the entity is as follows:
- Name and CIF of the entity.
- Full address: street, town, postal code…
- Type of company: SA, SL, Association, Foundation, Self-employed…
- Telephone, fax, email, sector and activity.
- Name of the person holding legal representation and their details: ID number, date of birth, position, telephone number and email address.
6. Complete all fields relating to the conditions of your internship , as agreed with the collaborating entity:
- Tasks : Detailed description of the activities you will carry out at the organization (“those specific to the degree” would be rejected). For example: neuropsychological assessment, stimulation therapy, report writing, etc.
- Period : Remember that the end date cannot exceed the end date of the academic year.
- Schedule : taking into account the maximum limitation of 8 hours per day or 40 per week.
- Total hours of practice : remember that you can do a maximum of 900 hours per academic year.
- Study grant (the amount indicated will be gross). If applicable, indicate the amount in euros you will receive per month. In this case, the company is required to withhold the corresponding income tax (IRPF), and in the case of extracurricular internships, to register you with Social Security. You will receive a net amount after deducting the corresponding Social Security contribution and income tax withholding. You can find more information regarding tax, fiscal, and Social Security considerations for paid internships.
- Tutors :
- Professional tutor (from the collaborating entity). The name will be provided by the company/entity. If it is not on the list, you can register it using the ” Add ” button, where you must fill in the following information: first and last name, ID number, date of birth, telephone number, email address, and position held in the company.
- Academic Supervisor . You must contact (by phone, email, in person, etc.) a professor in your degree program and ask them to be your academic supervisor. Then, select the name of the UMH professor from the list with whom you have agreed to supervise your internship. They do not need to sign the internship agreement, but they can provide you with a certificate when you complete it.
7. On the next screen, you will see a selection of the skills you will primarily develop/enhance during your internship. From the list provided, you must select the corresponding number of skills.
8. Once you have correctly filled in all the information, press “ Submit ” to send the internship application to the Occupational Observatory.
9. Once your internship application has been submitted, you will receive an email with the internship documentation (“annex”) in PDF format and a link to the instructions for signing and submitting it. If it is also necessary to process the collaboration agreement with the organization (in the case of new organizations or expired agreements), you will also receive the agreement for the organization to sign (only).
10. You have two options for signing the documentation :
- Sign with an electronic certificate / digital signature . The easiest, fastest option without having to travel.
- Once you receive the PDF file with the documentation, you must sign the internship agreement with your electronic certificate or digital signature and send it to the organization so they can do the same (sign the PDF file). If an agreement has been generated, the company (only) must also sign it.
- Once you have signed the documentation (by you and by the person responsible for the company/entity) you must send it to: .
- Physical signature .
- Print 3 copies of the annex and 2 copies of the agreement (if applicable). The person responsible at the organization will stamp and sign all copies in blue ink. You must also sign all copies of the annex in blue ink, but not the copies of the agreement (if applicable).
- Send the documentation to the Occupational Observatory (by mail / express courier or in person) at: UMH – Occupational Observatory. La Galia Building, University Avenue, s/n. CP 03202 – Elche.
- Important information :
- Scanned documents or documents with invalid signatures will not be accepted.
- The documentation signed by all three parties (student, entity and Vice-Rectorate) will arrive at your postal address in approximately 1 month, so we advise you to process the signature electronically.
- Please remember that all signatures on the annex, from all parties, must be of the same type; that is, with a valid electronic certificate or handwritten in blue ink. Scanned signatures will not be accepted under any circumstances.
- If you have any questions regarding the signatures, please contact us by email ().
- You can track the status of your application at the following link: universite.umh.es/Observatorio Ocupacional : “My internships”.
